Who we are

This notice is for the Performance Assessment Portal run by This Present House (https://thispresenthouse.org/). People & Culture is in charge of how we use personal information in this tool.

What information we collect

• Your name and work email.
• Your job details (department, manager, job title when added).
• Your photo if you sign in with Microsoft and one is shared.
• Login records (when you signed in and how).
• Review data: goals, ratings, comments, growth plans, and approval names and dates.
• A one-time login code sent to your email if you use email sign-in.

Why we use it

• To let you sign in safely.
• To run performance reviews and keep a fair record.
• To send you emails about reviews (for example when your manager sets goals).
• To help People & Culture and leaders manage review periods.

Who can see your information

You can see your own scorecard. Your manager sees scorecards for people they lead. People & Culture can see scorecards for the review periods they manage. We do not sell your data to advertisers.

How long we keep it

We keep review records while you work with This Present House and for a reasonable time after, so People & Culture can answer questions and follow the law. Old login codes are deleted when they expire.

Microsoft sign-in

If you use "Sign in with Microsoft," Microsoft handles part of the login. We receive basic profile information your organization allows (like name and email). Read Microsoft’s privacy rules too.

Your choices

• You can ask People & Culture to fix wrong details about you.
• You can ask what information we hold about your reviews.
• You must use the portal honestly if you are in an active review period.

Keeping data safe

We use passwords, login codes, and access rules so only the right people see the right scorecards. No system is perfect. Tell People & Culture right away if you think someone saw data they should not see.
